Offboarding

Offboarding runs a clean, consistent departure for every leaver. It gives HR one workspace per case, gives the departing employee a short checklist of their own, and captures an exit interview that Sparko can summarize with AI on the Growth plan and above.

Overview

Offboarding covers:

  • A case list for HR and managers, grouped by what needs attention
  • A per-case workspace with a checklist, exit interview, and equipment/access return
  • A departing-employee checklist so the leaver knows what to hand off
  • An AI exit summary (Growth plan and above) that condenses the interview for HR

Find it under People > Offboarding. A case opens automatically the moment an employee is terminated, or you can start one by hand.


The case list (HR and managers)

Navigate to People > Offboarding to see every departure you have access to. Cases are grouped into four tabs:

  • Active: departures in progress
  • This week: last day falls within the next seven days
  • Needs attention: last day has passed but the case is still open
  • Completed: wrapped-up departures

Search by name, job title, or case title. Each row shows the person, their last day, checklist progress, exit-interview state, and how many items are still outstanding.

Starting a case by hand

Click Start offboarding, pick the employee, set their last working day, choose a separation type (voluntary, involuntary, retirement, end of contract, or other), and mark whether the departure is regretted. Sparko seeds the standard checklist, equipment list, and exit interview, then opens the new case.

Automatic cases on termination

When an employee is terminated in People, Sparko opens their offboarding case for you with the same standard checklist. If a case is already open for that person, it is reused rather than duplicated.

The person, their last day, their tenure, the separation reason, whether the departure is regretted, and the case status.

Offboarding checklist

The standard checklist groups tasks into four stages. Click a task to check it off, or click again to reopen it. Each task shows who owns it (the employee, their manager, HR, IT, payroll, or the system).

The seeded tasks are:

  • Knowledge transfer: document active projects, hand off accounts and responsibilities, transfer ownership of dashboards and tools, record a short walkthrough.
  • HR and payroll: confirm final pay and unused leave, send benefits continuation details, confirm a forwarding address.
  • Equipment and access: collect laptop, badge, and security key; revoke system access on the last day.
  • Final day: exit interview with HR, a final one-on-one with the manager, and the employee's exit survey.

You can add, edit, or remove tasks on any case.

Exit interview

If the interview has not been set up yet, click Schedule exit interview. Capture the responses (primary reason for leaving, a 0 to 10 recommend score, what could have been done differently, and what the person enjoyed most). The interview state moves from not scheduled, to scheduled, to completed.

Equipment and access return

Every item from the standard list starts as outstanding. Mark equipment Returned once you have it back, and mark access items Revoked once they are turned off. System access (single sign-on, email, and repositories) is set to revoke on the last day, and you can revoke it early if you need to.


The AI exit summary (Growth plan and above)

Once the exit interview is marked completed, HR can generate an AI summary of it. Sparko reads the interview responses and produces a short summary plus a set of themes.

  • The Generate summary button stays disabled until the interview is completed. Until then you will see "Complete the interview to generate a summary."
  • The summary is attributed to Claude. HR can edit the wording before sharing it, or regenerate it.
  • AI exit summaries require the Growth plan or higher. On lower plans the panel explains that the feature is unavailable rather than failing silently.

Across many departures, HR can also look at cross-exit themes. That view is Growth-plan and above, and it stays hidden until at least five exits are in the window, so no single person's answers can be traced back to them.


Your own checklist (departing employees)

If you are leaving, your personal checklist lives at /people/offboarding/mine under the title "Wrapping up." It is a friendlier version of the same case, showing only what matters to you:

  • Your progress and last day
  • Your tasks, grouped into hand off your work, wrap up with HR, return company items, and your last day
  • The items you need to return, with their status
  • A reminder that a short, confidential exit survey will be shared with you, and that your manager never sees individual answers

You can only check off tasks that are yours. Tasks owned by HR, IT, or your manager show as read-only. Remember that your account access ends on your last day, so download anything personal (payslips, tax forms) before then.

System roles already include these by default. Employees can see and complete their own checklist; managers see their team's cases; HR sees everything. See your HR Admin if access is missing.
